Events and Group Sales Coordinator At Bard on the Beach Theatre Society

Location: Vancouver, British Columbia

Job Description

Bard on the Beach is Western Canada’s largest professional Shakespeare Festival. Its annual budget is $7 million and it employs a year-round team of Professional artists and administrators. The Festival offers Shakespeare plays, related dramas and special events from June to September, in two modern theatre tents in a magnificent setting on the waterfront in Vanier Park. The Festival also offers year-round educational programming at the BMO Theatre Centre in Olympic Village, and throughout the Lower Mainland.

Bard on the Beach is seeking an energetic individual who enjoys interacting with patrons and developing relationships, to coordinate Festival special events and group sales. Reporting to the Marketing and Operations Management teams, this position will activate the pre-season and in-season Group ticket marketing and sales program. S/he will directly supervise Events Assistants and volunteers and will oversee the on-site operations of special events and marquee events during the June-September festival. The successful candidate will work closely with multiple Bard on the Beach departments and
volunteers and will be self-motivated, highly organized and detail oriented.

Seasonal part-time position at 25 hours per week from March to May on a consistent schedule. Hours will increase to full time from June through to the end of September. The schedule may vary weekly depending on events during the Festival period (June-September) and will include evening and weekend work.

Responsibilities:

  • Community outreach to build relationships, increase attendance at the Festival and meet annual sales and revenue goals, focusing on group ticket sales and on-site hospitality events.
  • Coordinating the group ticket program, through outreach to prospects and past purchasers, processing orders, tracking sales and liaising with Box Office staff.
  • Liaising with event assistants to organize the logistics of special events and special groups on-site.
  • Contacting suppliers, entertainers and caterers to organize logistics of deliveries, pick-ups and set up for each event.
  • Organizing and facilitating Bard on the Beach special events including Family Nights and Bard-B-Q and Fireworks.
  • Supervising, scheduling and training seasonal Event Assistants who will be responsible for facilitating the event shifts on-site.
  • Training and providing information to Event Volunteers who are scheduled to support events on-site.
  • Ensuring compliance with BC Liquor Laws and Food Safe requirements.
  • Setting up and organizing the Marquee Bar prior to the festival and packing up post-festival.
  • Communicating new ideas or concerns and assisting in the development and implementation of the best possible events experience for guests, staff and volunteers with consistent follow-up.
  • Attending regular meetings regarding marketing and box office operations, upcoming events, staffing and stock needs.

Job Requirements/Qualifications:
  • Direct sales or promotional experience, preferably in the performing arts sector
  • Demonstrated networking and business development skills.
  • Minimum high school graduation, some post-secondary training and/or 2-3 years events management experience.
  • Serving It Right and Food Safe Level 1.
  • Strong communication and organization skills.
  • Experience supervising volunteers and staff.
  • Strong team player.
  • Dependable with strong work ethic and passion for live theatre and the arts, especially Shakespeare.
  • Salary/Wage: $725/week (June – Sept), prorated during part-time months (March – May)
