Job Description Summary

Responsible for working effectively with both client and internal teams to flawlessly deliver world class event programs that drive successful results against established strategic objectives, timelines and financial goals. This team member will be required to manage all details relating to budgeting, logistics, messaging, agendas, on-site management, follow-up and measurement. This position will report to the SVP, Corporate Events and work with the Marketing team to enhance and execute our programs. This candidate should thrive under pressure and have a passion for event production and logistics.

Essential Job Functions
  • Leads the execution of assigned event programs of various size and scale.
  • Supports the strategic planning and creative development of event initiatives, proactively managing all event logistics from venue site and selection to invitation process to event production and execution.
  • Develops planning tools, i.e. budget tracking and reconciliation, project timeline, production schedules, event specs, meeting agendas and notes, etc.
  • Delivers the Bank of the West event standards at every event.
  • Serves as primary owner of event communication for assigned program. Leads internal and external project debriefs.
  • Tracks budget costs throughout the course of project and communicate scope changes that effect budget in a clear manner.
  • Establishes, maintains, and enhances relationships with all team members and departments (branding managers, creative, sales and client support, finance, and legal, etc.)
  • Drives negotiations and project management of critical events and delivers flawless event plans.

  • Consistently assesses opportunities for improvement.
  • Be a team player that is willing to build out processes internally and cross functionally that will ensure the success of our events with our global production partners.
  • Mentors and coaches junior event staff to develop skills that can meet changing client needs.
  • Develops and actively manage vendor/freelance relationships to ensure best available resources
Qualifications
Required Experience
  • 2-3 years of event management and planning experience, at least some of which has been gained in managing large, production-heavy events in the financial services industry
  • May require vocational or technical education in addition to prior work experience.
Education
  • Bachelor's Degree Marketing, Communications or related field

  • Posses a strong teamwork ethic; must have the ability to work both independently and as part of a larger team
  • Ability to work smart under pressure and efficiently on several project requests simultaneously in a fast-paced, high-growth environment where tight deadlines can crop up
  • Flexible work schedules and the willingness to travel (including potential evening, weekend and holiday work)
  • Excellent computer skills: familiar with Microsoft Office suite, Social Networking sites, collaborative team project software, Cvent.
