Marketing Communications Coordinator At Aecon Group

Location: Etobicoke, Ontario

Job Description

The Corporate Marketing Communications Team group is responsible for corporate-wide communications to internal stakeholders and for developing and managing Aecon’s brand identity and marketing collateral for internal/external stakeholders. This includes internal print and electronic communications, culture & engagement pieces, Corporate Identity Guidelines, marketing brochures, signage, advertisements, tradeshow booths and event management. In addition, the group supports corporate business development activity by assisting with major P3 and other significant RFQ and RFP submissions on behalf of Aecon Group and its various business units.

The Marketing Communications Coordinator will provide coordination and support assistance to the Strategic Business Development/Marketing Communications team.
Key Responsibilities
  • Coordination/distribution of corporate internal communications
  • Special events planning/coordination
  • Management all department administrative deliverables (i.e. PO/invoices, expenses, supplies, etc.)
  • Management/tracking of department client satisfaction surveys/results and publication of monthly results dashboard
  • Special Projects coordination/support, as identified

  • Communications Coordination
o Dissemination of all communications/push notifications to company-wide internal stakeholders and management of Distribution Lists
o Tracking/polling/survey coordination

  • Invoice Management
o Requisition invoices in SAP
o Track invoice in budget tracker under correct GL code group
o Manage vendor relationships
o Work with Aecon data team to create all new vendor set-ups within SAP
o Keep detailed electronic records of all invoices and back up

  • Business cards/office supplies
o Manage all business card orders for Business Development/Marketing group
o Manage all office supplies orders for Business Development/Marketing group


  • Expenses/Travel
o Manage all monthly expense reconciliations on Corporate credit cards for Marketing & Corporate Communications group
o Keep detailed record of all submitted expenses and receipts
o Provide travel assistance/booking for Marketing group via Aecon’s dedicated travel group


  • Aecon dedicated mailbox monitoring and management
o Responsible for daily monitoring of dedicated Aecon mailboxes
o Coordinate distribution of corporate organizational announcements from dedicated mailboxes
o Follow up on inquiries/requests filtered through dedicated mailboxes

  • Marketing Collateral/Materials
o Responsible for the inventory of Aecon tradeshow booths/pop up banners, in coordination with strategic business units
o Responsible for tracking all Marketing collateral/materials and keeping detailed inventory to ensure all items are returned within specified timeframes and without damage.
Required Knowledge & Skills
  • Five (5) years’ experience as a Corporate Communications administrator
  • Exceptional written/oral communications skills
  • Event planning/logistics experience
  • Experience operating in an SAP environment
  • Fluent in Microsoft Office:
o PowerPoint
o Word
o Excel
  • Knowledge of ADOBE Illustrator/InDesign software
