Human Resources Administrator At Aecon Group

Location: Edmonton, Alberta

Job Description

The Human Resources Administrator will provide trusted and valued support to the business in many ways, touching all areas of HR such as payroll, recruitment, onboarding and performance management. The HR Administrator will build effective working relationships with managers and employees across the organization to enable business success. Key Responsibilities
Payroll
  • Responsible for submitting salary change forms to salary payroll on a semi-monthly basis and hourly change forms on a weekly basis.
  • Responsible for drafting assignment letters and contract extension letters for salary and hourly non-union employees
  • Responsible for running semi-monthly salary reports and manipulating adhoc reports for management review
  • In charge of investigating and answering employee questions associated with their pay acting as a liaison between the employee and salary payroll department & hourly payroll department
  • Collect and file all associated paperwork within shared drives and Human Resource Records Management System
  • Ensure proper back up and signatures are on all paperwork

Human Resources Information System
  • Submit and verify all employee records in the HRIS database (SAP)
    Including but not limited to:
    • New hires
    • Terminations
    • Employee personal/professional changes
    • Performance review ratings
    • Benefits & Savings Plan enrollments/ changes
    • Organizational Changes (reporting lines, Org unit changes, additions, removals etc)
    • Assist with auditing/reviewing data as required to ensure data integrity
  • Generates standard daily, weekly and monthly reports.(i.e. new hires, terminations, headcount, benefits, training, performance reviews etc.)
  • Generate new and ad hoc HRIS reports as needed by the HR department, and complete audits on information to ensure data
  • Maintain the org chart for various departments, project teams and Corporate matrix groups
  • Educate the Human Resources team on any process changes and ‘how to’s’
  • Participate in any testing with system updates with the corporate HRIS administrator
  • Subject Matter Expert on SAP for the HR team

Training
  • Investigate courses based on employee’s needs
  • Assist in coordination & organize training sessions (booking of rooms, equipment required, materials printed etc.) in all disciplines of training i.e. computer training, Foundations Program, Blueprint, Performance Management, etc.
  • Assist in maintaining processes & procedures for tracking & ongoing commitment to training & development of employees alongside the Training and Development Corporate team

Recruitment
  • Help develop/update Job Descriptions with assistance of HR Business Partner/ HR Manager
  • Subject Matter Expert on Hiredesk for the HR team
  • Post all available positions internally and/or externally depending on the recruitment strategy
  • Take down all filled positions and ensure the Aecon website is up to date with only current positions
  • Manage needs analysis alongside HR Manager on upcoming Co-op recruitment needs for each term
  • Work with internal campus recruitment team to ensure job postings and hiring decisions are communicated effectively to each school
  • Responsible for Co-op student exit interviews once work term is complete
  • Review, sort and shortlist resumes received for active positions. Forward qualified resumes to the appropriate Hiring Manager along with the HR Manager in a timely and efficient manner. Follow up with Hiring Manager regularly
  • Arrange and coordinate interview schedules
  • Participate in interviews as required
  • Perform reference checks for potential candidates
  • Liaise between potential new hires and hiring manager regarding the offer letters and first day experience in coordination with the HR Manager

Campus Recruitment
  • Work with the HR Manager and campus recruitment to determine what campuses will be attended
  • Work with Recruitment Coordinator to sign up for the appropriate Job Fairs
  • Arrange/take part in campus information sessions
  • Arrange the purchase of recruitment wear for the HR team to be available in January of each year
  • Source the recruitment ‘give away’ and coordinate with the broader HR team ordering

Employee Orientation and Onboarding
  • Schedule and coordinate Orientation
  • Work with Hiring manager to ensure onboarding activities and requirements are communicated/completed for first day with Aecon
  • Responsible for all Employee Orientations and Benefit Overviews
  • Responsible to work with managers to set up probationary period reviews with all new hires, summarizing and addressing any employee concerns

Benefits
  • Responsible to ensure that employees are enrolled in the benefits program and submit any associated documentation needed to the pension & benefits department
  • Act as employee liason to the pension & benefits department
  • In charge of investigating and answering employee questions associated with benefits
  • Process all health and wellness benefits

Employee Discounts/Promotions/Special Events
  • Advertise these special promotions and discounts
  • Assist in coordination of company events (ie) take your kids to work day
  • Responsible for tracking and providing the service list each year
  • Help to coordinate service awards event, certificates and gifts for those receiving service awards

Other
  • Subject matter expert for online Performance Management system for managers and employees
  • Participate in Enabling Work Team initiatives that drives excellence in process and procedure
  • Advertise and coordinate scholarship programs
  • Organize and coordinate the Quarterly Town Hall Updates sessions once per quarter
  • Responsible for participating in the Compensation Statements production, review and delivery
  • Generate adhoc reports/spreadsheets for Managers on Employee information as requested
  • Filing
  • Other administrative duties as assigned

Required Knowledge & Skills
  • Post secondary school education in Human Resources Management preferred
  • Working knowledge of SAP and human resources database including HRIS and applicant tracking systems are considered an asset.
  • Pursuing or acquired CHRP designation is an asset
  • Microsoft Office Products
  • 2-3 years experience in an Human Resources Capacity
