AECOM is seeking a Proposal Manager to be based in our Calgary, Alberta location.
Reporting to the VP, Business Development, the Proposal Manager will provide support to the Business Development Group in the successful planning, coordination and execution of the complete Request for Proposal (RFP) or any other submittals required for an offer. The Proposal Manager will coordinate with various functions to manage the deliverables on proposal management. The Proposal Manager will work on specific deliverables in coordination with the concerned function, if required, to support the functional responsibilities.
+ Assist in the preparation of Gate 1 Package (for Go / No Go decision).
+ Host and facilitate various meetings including but, not limited to: Proposal Kick-off, Bid strategy, Estimate reviews, Scheduling reviews, Contract review and, Functional Deliverables review meetings. Responsibilities can include capturing Minutes of Meetings.
+ Lead / conduct bid strategy meetings to develop the contracting strategy(s) and commercial model for the project. Document decisions made. Provide directions to Proposal Team.
+ Develop, implement and maintain the Proposal Communication Plan containing the Proposal Schedule and the Proposal Deliverables Plan.
+ Work with the Construction and Project Teams to document the construction execution strategy.
+ Oversee and drive to completion the proposal tasks and deliverables using various methods including Checklists, Action Item Logs and regularly scheduled Update Meetings.
+ Independently addresses and solves day-to-day proposal delivery challenges.
+ Manage and apply risk management methodologies to minimize or mitigate any project risks.
+ Prepare the Gate 2 Package (ready to submit) and achieve appropriate corporate approvals.
+ Develop the Risk Management Committee presentation and review with Sr. Management.
+ Ensure the RFP / bid response is compliant, complete and submitted on time.
+ Clarification Phase:
Work with Functional Groups to formalize responses to client's questions and interface with Senior Management and client representatives as needed.
+ Conducts Look Back (Lessons Learned) sessions on proposals.
+ Preparation and delivery of the Financial Proposal Closeout Report.
+ Ensure proposal costs are allocated to the project for awarded projects.
+ Lead the knowledge transfer (hand-over) to the Project Execution Team following award.
+ Attend and contribute information during team meetings with regard to current / outstanding issues and/or weekly process.
+ Collaborate with other functions to enhance success on an as needed basis.
+ Upload, review and print off any required information from SharePoint which pertains to current tasks, responsibilities and projects.
+ Complete and submit documents to the appropriate departments (i.e. timesheets, expense reports, etc.).
+ May be required to perform other duties as assigned not otherwise captured in this position description.Conditions of Employment for this position are:

+ Bachelor's degree in Marketing/Communications, Journalism, English, Construction Management or related field from an accredited college or university or demonstrated equivalent.
+ Minimum of 6 years of directly related experience
+ Experience required in Oil and Gas Industry related role (preferably in Proposal Management).
+ Professional designation preferred.
+ Project related experience (e.g. Job site experience preferred).
+ Advanced Computer Skills in all MS Office Suite Applications, as well as Adobe Pro and Sharepoint. .
+ History of working on large industrial maintenance/construction proposals.
+ Ability to travel and work away from home, when necessary.
+ Willingness to work varying schedule with levels of evening and weekend work as required by demands.
+ Strong writing skills including an understanding of the elements of style and English grammar
