Administrative Assistant/Client Service Associate At Advisor Business Solutions

Location: Pasadena, California

Job Description

Our client a successful Financial Planning firm in Pasadena, CA is seeking an Administrative Assistant/Client Service Associate for a growing team of professionals. This is an entry level position at a busy wealth management office servicing high net worth clients with significant growth opportunity.

Duties & Responsibilities:
Support the firm's lead advisors and executive team by providing excellent client service and support. This includes but is not limited to reviewing and helping manage calendars, scheduling meetings, inputting data into our CRM, welcoming clients to our office and making sure the overall office environment is warm, welcoming and professional.

Answer phones with a friendly and positive greeting. o Always have a problem solving mindset when speaking with people calling our firm.

Become an expert in our CRM tool and its functionality. Log all client interactions accurately and timely.

Support the firm's marketing efforts - facilitate blog posts, update web content, help organize client events, etc.

Oversee office supply inventory. Always make sure we have supplies on hand. o This includes pens, paper, notepads and kitchen supplies as needed (coffee, paper towels, etc).

Support Tuesday lunch ordering when needed.

Provide support on special projects and general operations tasks as needed.

Manage travel arrangements.

Have a client-first attitude.

Stay very organized and prioritize work accordingly.

Maintain a high attention to detail.

Take complete ownership of areas of responsibility from start to finish.

Be creative and inventive with your responsibilities. Always look for better ways to tackle what you are required to do including looking into new technology, making suggestions to improve current processes, etc.

Qualifications:
Bachelor's degree.

Previous experience in financial services strongly preferred.

Strong accuracy and attention to detail.

Proven ability to use technology - including but not limited to, Microsoft applications, financial planning tools and portfolio reporting databases.

Excellent verbal and written communication skills.

Professional attitude and demeanor and the ability to operate in a fast paced, challenging environment.

Ability to organize and prioritize multiple tasks in a timely manner.

Proven ability to review data and create and maintain charts in Excel.

Experience with electronic calendaring and workflows.

Compensation & Benefits:
Salary $40,000-$50,000 Annually.
